Gnosis Freight is seeking an Executive Assistant for our rapidly growing SaaS business that’s revolutionizing the logistics industry.

In this role, the Executive Assistant will serve as a strategic partner and critical support to our CEO and the Executive Leadership Team (ELT) of 4 members. This role demands a proactive, highly organized individual who can manage competing priorities, handle complex logistical needs, and act as a trusted confidant to senior executives. You will be the go-to resource for managing schedules, facilitating communications, and coordinating meetings, travel, and special projects, often liaising with external vendors, Board members, and high-level stakeholders.

To thrive in this role, you must possess exceptional organizational and multitasking skills, be resourceful. You will often work independently, anticipating the needs of the CEO and ELT and addressing them with minimal supervision. Your contributions will help streamline operations, ensuring that leadership can focus on high-impact initiatives in our fast-paced B2B SaaS environment.

Key Responsibilities:

  • Executive Calendar Management: Maintain and optimize the CEO’s frequently changing schedule, including anticipating and resolving potential conflicts in advance. Support ELT members on an as-needed basis.
  • Travel Coordination: Arrange end-to-end travel logistics, including international and domestic flights, ground transportation, hotels, and any additional reservations.
  • Meeting Preparation: Ensure the CEO is prepared with all necessary materials for meetings, events, and travel, including pre-read materials, agendas, and briefings.
  • Expense Management: Prepare, track, and submit expense reports for the CEO and ELT, adhering to corporate policies and timelines.
  • Project & Event Coordination: Organize quarterly board meetings, team off-sites, and department events, managing all related logistics such as venue selection, agenda planning, and communication.
  • Strategic Partnership: Serve as a key liaison between the CEO, ELT, and internal/external stakeholders, ensuring smooth communication and managing interdependencies across projects.
  • Special Projects: Drive and support ad hoc projects for the CEO and ELT, including research, reporting, and administrative initiatives as requested.

Skills, Experience, and Mindset Required:

  • Experience: 4-7+ years of experience as an Executive Assistant, ideally in a high-growth B2B SaaS environment or similarly dynamic, fast-paced industries.
  • Multitasking & Adaptability: Proven ability to manage multiple projects and priorities with ease, maintaining focus under pressure and adapting to changing circumstances with grace.
  • Attention to Detail: Exceptional organizational skills, with a strong focus on accuracy, follow-through, and timely execution.
  • Confidentiality & Discretion: Experience handling highly confidential information with the utmost discretion and integrity.
  • Tech-Savvy: Strong proficiency in modern collaboration tools and platforms including Microsoft Office suite (Outlook, Word, Excel, PowerPoint, Teams), Adobe, Slack, DocuSign, Zoom, Canva, and travel and expense management systems (e.g., Ramp, Concur, Expensify).
  • Communication: Excellent written and verbal communication skills, capable of articulating messages clearly and diplomatically.
  • Event & Meeting Logistics: Expertise in coordinating events and meetings, anticipating needs, and providing seamless support.
  • Collaboration: A team player with a collaborative mindset, who thrives in a role that requires frequent interaction across all levels of the organization.
  • Problem-Solving: Proactive in identifying challenges and offering creative, efficient solutions with minimal supervision.
  • Urgency & Initiative: A sense of urgency and ownership over tasks, demonstrating a high degree of initiative and accountability.
